B4Backpackers – Terms & Conditions

1. Contract

1.1 Agreement to Terms & Booking Fee

By booking or using any services provided by B4Backpackers, you agree to be bound by these Terms & Conditions. A fixed advance amount (deposit) is required at the time of booking to secure your place. All advance payments are strictly non-refundable.

These Terms & Conditions are governed by English Law, and the courts of England and Wales shall have exclusive jurisdiction.

1.2 Booking Conditions

(a) Advance Amount / Deposit: All advance payments or deposits paid to B4Backpackers are non-refundable under any circumstances, including cancellation, visa refusal, medical issues, or personal reasons.

(b) Minor Passengers: Minors may not travel unaccompanied. They must be accompanied by a parent, legal guardian, or an adult aged 18 or above. A valid child travel consent letter must be carried if travelling without parents.

(c) Travel Agent Bookings: If booked via a travel agent, B4Backpackers is not responsible for any funds not passed on by the agent. Deposits retained by agents remain non-refundable.

(d) Imminent Departures: For tours departing within 14 days, payment is accepted by card or cash only. Bank transfers and cheques are not permitted.

1.3 Contract Formation

A legally binding contract is formed once B4Backpackers confirms your booking in writing or by issuing a confirmation invoice.

1.4 Baggage Policy

Each passenger is permitted one bag up to 23kg. Excess or additional baggage is subject to space availability and extra charges. B4Backpackers is not liable for refused luggage.

1.5 Third-Party Suppliers

Accommodation, transport, and activity providers operate under their own terms and may limit their liability. Copies are available upon request.

1.6 Seating Policy

Seat allocation is at the discretion of B4Backpackers and may change at any time. Seat requests are not guaranteed.

1.7 Group Bookings

To travel together, all passengers must book under one reference and share the same pickup point.

2. Payments

2.1 Payment Schedule: The balance must be paid by the due date communicated at booking. Failure to do so may result in cancellation with loss of advance payment.

2.2 Currency: All payments must be made in GBP (£).

3. Prices & Offers

Prices are subject to availability and may change due to fuel costs, taxes, exchange rates, or supplier increases. Once confirmed, prices will not change unless legally required.

Discounts, early-bird offers, or promotions:

  • Are subject to availability
  • Are withdrawn if bookings are amended
  • Cannot be combined unless stated

4. Changes to Bookings

Changes are subject to approval and administrative charges. Any amendment may void discounts or offers applied at booking.

5. Cancellation Policy (Important)

5.1 Cancellation Notice: All cancellations must be submitted in writing (email only) by the lead passenger.

5.2 31-Day Cancellation Rule:

  • Cancellations must be made at least 31 days before departure
  • The advance amount is non-refundable
  • Cancellations within 31 days of departure will incur 100% cancellation charges
  • No refunds for late cancellations, no-shows, or unused services

This applies regardless of reason, including visa refusal, medical issues, personal emergencies, or missed departures.

5.3 Re-booking After Cancellation: If you cancel and rebook, standard prices and conditions will apply.

6. If We Change or Cancel Your Tour

B4Backpackers reserves the right to modify itineraries, accommodations, or transport due to operational or external factors.

If we cancel a tour, you will receive a full refund of amounts paid to B4Backpackers only. No compensation will be provided for third-party costs such as visas, flights, or insurance.

7. Special Requirements

Passengers must disclose medical conditions, mobility issues, or special needs at booking. We reserve the right to refuse participation if a tour is unsuitable.

8. Behaviour & Right to Refuse Service

We reserve the right to terminate a booking without refund if a passenger causes disruption, danger, fails to follow instructions, or violates local laws or tour rules.

9. Liability Limitations

B4Backpackers is not responsible for lost belongings, visa refusals, missed flights, force majeure events, or delays beyond our control. Liability shall not exceed the amount paid for the tour.

10. Travel Documents & Visas

Passengers are fully responsible for valid passports, visas, and entry permits. Visa assistance does not guarantee approval. All visa fees are non-refundable.

11. Insurance & Health

All passengers must hold valid travel insurance covering medical emergencies, cancellations, and personal belongings.

12. Complaints

Any issues must be reported during the tour. Written complaints must be submitted within 28 days of tour completion.

13. Data Protection & Media

We comply with UK GDPR. Photos or videos taken by B4Backpackers may be used for promotional purposes unless you notify us in writing.

14. Copyright

All website and promotional content is the intellectual property of B4Backpackers and is protected under copyright law.
